How to Manage Patient Profile: Add, Edit, Update Status

  • The Patient Profile contains essential demographic and contact information for each patient.
  • This section allows providers to view and manage patient details, ensuring accurate records and supporting communication and consultation workflows.
  • The Patient Profile can be accessed from both the mobile app and the web platform, where authorized users can review or update patient information as needed.

How to View Patient Profile on Mobile

To view a patient’s profile using the mobile app:

  1. Open the Patients list.
  2. Select the patient record you want to view.
  3. Tap the Profile tab within the patient record.

Alternatively, you can access the profile by swiping a patient entry in the patient list and selecting the Profile quick action.

The Profile tab displays available patient information such as:

  • First Name
  • Middle Name
  • Last Name
  • Date of Birth
  • Title
  • Gender Identity
  • Ethnicity
  • Occupation
  • Phone Number
  • Email

From the Profile page, you can also:

  • Start a new consultation
  • Navigate to other tabs such as History or Summary.

How to Edit Patient Profile on Mobile

To update a patient’s profile information using the mobile app:

  1. Open the patient record.
  2. Navigate to the Profile tab.

  1. Tap the More (⋯) button in the top-right corner.
  2. Select Edit.

  1. Update the patient information as needed.
  2. Fields that can be updated include:
    • First Name (required)
    • Middle Name
    • Last Name (required)
    • Date of Birth (required)
    • Title
    • Gender Identity
    • Ethnicity
    • Occupation
    • Phone Number
    • Email
  3. Tap Save to apply the changes.

Note: If the patient’s name is modified, the system will automatically check for possible duplicate patient records and notify you if one already exists.

If a name and date of birth updates match an existing patient record, the system will notify users to prevent duplicate records.

  • The confirmation popup "Duplicate Patient Detected" will appear
  • Select Proceed to update information
  • or Cancel to discard


How to Add or Update a Patient Photo on the Mobile App

This feature is currently available exclusively on the mobile application

  1. Navigate to the patient's Profile tab

  1. Tap the "..." (more) button in the top right corner
  2. Select "Profile photo"

  1. Choose photo source:
    • Take Photo - Capture a new photo using your device camera
    • Choose from Library - Select an existing photo from your device

  1. The selected photo will display on the patient profile within a few seconds

To edit the Patient Profile photo, follow the same flow as when adding a patient photo.


How to Remove a Patient Photo

  1. Open the Patient Profile
  2. Tap the "..." (more) button in the top right corner
  3. Select "Profile photo"
  4. Tap "Remove Photo"


How to Deactivate a Patient on the Mobile App

This action is fully reversible

  1. To access Deactivate function:

Option 1:

  • Swipe the Patient cell to the right on the Patient List
  • Then click Deactivate button



Option 2:

  • Navigate to the patient's page from Patients list and click Profile tab
  • Then click the "..." (more) button in the top right corner
  • Select "Deactivate" .

  1. Review the confirmation message: "You are about to deactivate [Patient Name] patient record. This action is reversible, you can reactivate the patient record at any time."
  2. Click "Confirm"
      1. Or click "Cancel" if you change your mind

  1. Status updated

The patient status badge changes from "Active" to "Deactivated"



Note: The Live Consultation feature is unavailable for deactivated patients.

  • You may edit the Patient Profile and Patient Summary.
  • You are permitted to review the Patient History and Consultation records.

How to Activate a Patient on the Mobile App

Prior to reactivating a deactivated patient, please filter the patient list by selecting either the Inactive or All status.

  1. Open the app on the Patient List and click Filters button on the top right corner.

  1. On Filter By screen click Status.

  1. For Status select "Inactive" or "All" option (1)
  2. Click checkmark icon on the top right corner to apply filters (2)

  1. To access Activate function:

Option 1:

  • Swipe the Patient cell to the right on the Patient List
  • then click "Activate' button



Option 2:

  • Navigate to the patient's page from Patients list and click Profile tab
  • Then click the "..." (more) button in the top right corner
  • Select "Activate" .

  1. Review the confirmation message: "You are about to deactivate [Patient Name] patient record. This action is reversible, you can reactivate the patient record at any time."
  2. Click "Confirm"
    1. Or click "Cancel" if you change your mind

  1. Status updated

The "Deactivated" badge for patient status is no longer displayed.



How to View Patient Profile on the Web Platform

To view a patient profile in the web platform:

  1. Navigate to the Patients list.
  2. Select the patient record you want to review.

  1. Click the Profile tab within the patient record.

The Patient Profile displays patient demographic details (Demographics) and contact information (Contact), including:

  • First Name
  • Middle Name
  • Last Name
  • Date of Birth
  • Title
  • Gender Identity
  • Ethnicity
  • Occupation
  • Phone Number
  • Email

This information helps providers quickly understand the patient’s background and maintain accurate patient records.


How to Edit Patient Profile on the Web Platform

To update patient profile information on the web platform:

  1. Navigate to the Patients list.
  2. Select the patient record you want to review.

  1. Click the Profile tab within the patient record.

  1. Click on the fields you want to modify.
  2. Enter the updated information.

Editable sections include:

  • Demographics
    • First Name (required)
    • Last Name (required)
    • Date of Birth (required)
    • Middle Name
    • Title
    • Gender Identity
    • Ethnicity
    • Occupation

      Contact Information

    • Phone Number
    • Email
  1. When changes are made, a Save bar appears at the bottom of the screen.

  1. Click Save to apply the changes or
    1. Cancel to discard them.

  1. After clicking the Save button, the changes will be applied to the Patient Profile.
    1. Upon successful completion, a success banner will appear in the top right corner.

Patient Duplicates Check:

If a name and date of birth updates match an existing patient record, the system will notify users to prevent duplicate records.

  • The confirmation popup "Duplicate Patient Detected" will appear
  • Select Proceed to update information
  • or Cancel to discard

  1. To access Deactivate feature use one of the options:

  • Navigate to patient list and click “...” (“More”) button on patient cell
  • Select "Deactivate" option


Option 2:

  • Navigate to the patient's page from Patients list
  • then click the "..." (more) button in the top right corner and select "Deactivate"

  1. Review the confirmation message: "You are about to deactivate [Patient Name] patient record. This action is reversible, you can reactivate the patient record at any time."
  2. Click "Confirm"
  • Or click "Cancel" if you change your mind


  1. Status is updated
  • The patient status badge changes from "Active" to "Deactivated"



How to Activate a Patient on the Web Platform

Prior to reactivating a deactivated patient, filter the patient list by selecting either the Deactivated status.

  1. In the Patients list, open filters and select "Deactivated" status, then click "Apply"

  1. To access "Activate" feature use one of the 2 options:

Option 1:

  • Click "..." (more) button on the deactivated patient cell
  • and select Activate option

Option 2:

  • Select the deactivated patient from the filtered list
  • Click the "..." (more) button in the top right corner
  • Select "Activate"

  1. Review the confirmation message: "You are about to activate [Patient Name] patient record."
  2. Click "Confirm"  to proceed
    • Or click "Cancel" if you change your mind

  1. Status updated
  2. The patient status badge changes from "Deactivated" to "Active"

Note: The Live Consultation feature is unavailable for deactivated patients on the Aesthetics360 mobile app.

  • You may edit the Patient Profile and Patient Summary.
  • You are permitted to review the Patient History and Consultation records.

Summary

The Patient Profile stores each patient's demographic and contact details, and can be managed from both the mobile app and the web platform. Here's what to remember:

✓ Viewing a profile — open the patient record and tap or click the Profile tab; on mobile you can also swipe the patient entry for a quick shortcut

✓ Editable fields — First Name, Last Name, and Date of Birth are required; Middle Name, Title, Gender Identity, Ethnicity, Occupation, Phone Number, and Email are optional

✓ Duplicate check — if an edited name and date of birth match an existing record, a "Duplicate Patient Detected" pop-up will appear before the changes are saved

✓ Patient photo — adding, updating, or removing a patient photo is available on the mobile app only

✓ Deactivating a patient — available on both mobile and web; the record is not deleted and the action can be reversed at any time

✓ Deactivated patients — Live Consultation is unavailable for deactivated patients; you can still edit their Profile and Summary, and review their History and consultation records

✓ Activating a patient — filter the patient list by Inactive or All (mobile) or Deactivated (web) first to find the patient, then use the "..." menu or swipe to activate

✓ Patient photo — adding, updating, and removing a patient photo is a mobile-only feature
