Logout & Session Security

Aesthetics360 includes automatic logout features to protect sensitive patient data when devices are left unattended. Understanding how logout works on both web and mobile platforms helps ensure your practice maintains security while providing convenient access for authorized users.

Manual Logout

How to Log Out from the Web App

Manually logging out is recommended when you're finished using Aesthetics360, especially on shared devices.

Steps to Log Out (Web)

  1. Click your profile icon in the top-right corner of the screen
  2. Select "Logout" from the dropdown menu
  3. You'll be redirected to the login screen

When to Manually Log Out

End of Workday

  • Always log out when leaving for the day

Shared Workstations

  • Log out immediately after finishing your session

Before Stepping Away

  • Log out if you'll be away from your desk for extended periods

On Public or Unsecured Devices

  • Always log out to protect patient data

How to Log Out from the Mobile App

The mobile app also allows manual logout for security purposes.

Steps to Log Out (Mobile)

  1. Open the Aesthetics360 mobile app
  2. Tap the menu icon (three horizontal lines) in the top-left corner
  3. Scroll down and tap "Logout"
  4. You'll be returned to the login screen

When to Manually Log Out (Mobile)

Shared Devices

  • Log out when multiple staff members use the same device

End of Shift

  • Log out when your work session is complete

Device Handoff

  • Always log out before passing a device to another user

Lost or Stolen Device

  • Remotely log out if possible, or contact support immediately

Automatic Logout & Inactivity

Aesthetics360 automatically logs out inactive users to protect patient data and maintain HIPAA compliance.

How Auto Logout Works on the Web App

Inactivity Detection

  • The system monitors for user activity (mouse movement, clicks, keyboard input)
  • After a period of inactivity, you'll receive a warning

Warning Period

  • An inactivity warning appears before automatic logout
  • You have a short window to indicate you're still using the system

Automatic Logout

  • If no activity is detected after the warning, you're automatically logged out
  • You'll need to log in again to continue working

How Auto Logout Works on the Mobile App

Inactivity Detection

  • The mobile app monitors for user interactions (taps, swipes, navigation)
  • Inactivity periods trigger the same security measures as the web app

Warning Period

  • You'll see an inactivity warning before being logged out
  • Tap anywhere or interact with the app to stay logged in

Automatic Logout

  • The app logs you out automatically after the warning expires
  • You'll return to the login screen

Understanding the Inactivity Warning

What the Warning Looks Like

When the inactivity timer expires, you'll see a modal or notification indicating:

  • "You've been inactive for [X] minutes"
  • "You will be logged out in [X] seconds"
  • Options to "Stay Logged In" or "Logout Now"

What to Do When You See the Warning

If You're Still Working

  • Click "Stay Logged In" or tap anywhere in the app
  • Move your mouse or interact with the interface
  • Your session continues without interruption

If You're Finished

  • Click "Logout Now" to immediately end your session
  • Or simply let the timer expire to be logged out automatically

If You Stepped Away

  • The system will automatically log you out after the warning period
  • You'll need to log back in when you return

Why the Warning Appears

Security Protection

  • Prevents unauthorized access to patient data

✓ HIPAA Compliance

  • Meets healthcare data security requirements

✓ Data Privacy

  • Protects sensitive information on unattended devices

✓ Session Management

  • Ensures only active users maintain system access

Q: Will I lose my work if I get logged out?

A: No. Aesthetics360 automatically saves your work in real-time. When you log back in, your data will be preserved. However, if you were in the middle of editing something, you may need to resume from where you left off.

Best Practices for Session Security

For All Users

Log Out When Finished

  • Don't rely solely on automatic logout
  • Manually log out when ending your work session

Respond to Warnings Promptly

  • Don't ignore inactivity warnings
  • Indicate if you're still actively using the system

Lock Your Device

  • Use device lock features when stepping away briefly
  • This provides an additional security layer

Never Share Login Credentials

  • Each user should have their own account
  • Don't share passwords with colleagues

For Shared Devices

Always Log Out Between Users

  • Never leave your session active for the next user
  • Use the "Switch User" feature if available instead of staying logged in

Enable Biometric Login

  • Makes re-login faster and more secure
  • Reduces temptation to stay logged in unnecessarily

Educate Staff

  • Ensure all team members understand logout procedures
  • Emphasize the importance of session security

For Mobile Devices

Use Device Passcodes

  • Always enable device-level security
  • Use biometric authentication when available

Enable Biometric App Login

  • Faster re-authentication after auto logout
  • More secure than password-only access

Don't Leave Devices Unattended

  • Keep mobile devices secure when not in use
  • Store in locked areas when possible

Troubleshooting Logout Issues

Can't Log Out

Web App Not Responding

  • Close the browser tab or window
  • Clear your browser cache and cookies
  • Try logging in again to properly end the session

Mobile App Frozen

  • Force close the app
  • Reopen and attempt logout again
  • Restart your device if necessary

Logged Out Unexpectedly

Check Your Internet Connection

  • Unstable connections can trigger automatic logout
  • Ensure you have stable Wi-Fi or cellular service

System Maintenance

  • Scheduled maintenance may temporarily log out users
  • Check for system status notifications

Multiple Sessions

  • Logging in on another device may log you out elsewhere
  • Only use one active session at a time

Inactivity Warning Not Appearing

Browser Issues (Web)

  • Clear browser cache
  • Try a different browser
  • Ensure pop-ups aren't blocked

App Issues (Mobile)

  • Update to the latest app version
  • Restart the app
  • Check notification permissions
